Zoho CRM allows administrators to create email templates that can be used to increase the efficiency and professionalism of your sales teams.

Creating an email template is very easy in Zoho CRM and you can use the inbuilt HTML editor to edit your emails and even create email in the likes of Dreamweaver or Nvu and copy and paste the HTML code to the Zoho email editor.

Creating email templates is an administrator privilege, so to start go to Setup, then choose the Advanced / Templates / Email templates option.

From there, you can create template folders to better organise your emails and then start creating the new template.

In Zoho CRM you need to associate email templates with the specific module or record type that will be using them. This is a key difference between Zoho CRM and say Salesforce.com, but actually this is the same concept in many other CRMs, including Sage CRM.  Think of it like this: "What is my email related to? What information do I want to include in the email?", then you will be able to easily decide which module it should be associated to.

Enter the relevant fields, unless you want the template to come from a set email address every time select Current User's Email address so that the From address is dynamic and will always display the logged in user's email address.

Check the box to use the user's email signature, this assumes that you have created this already in the Personal settings of each user, so be careful to do this first if you would like to include user signatures after the email.

Create the email using the WYSIWYG editor.

Dynamic fields can be added using the merge fields function, which allows you to add dynamic data into your email body - and subject - based on the data that your team add in the CRM and also on such things as user data and company information:

Continue writing your email until done, do a spell check, then we recommend you enforce a font and text size even though the WYSIWYG editor may show the email as look as required. This helps the email to appear as you want it to in multiple email clients.

When you are done, you can preview the email then save.
