Zoho CRM autoresponders allow you to carry out automated email campaigns on leads or contacts. Here is a useful tip on how best to manage the recipients in your autoresponder list.

Excluding Contacts from Follow-up in an Autoresponder

There are two methods:

1) Use the autoresponder manual exclusion

To exclude records from the next autoresponder follow-up:

Click the [Module] tab.

In the [Module] Home page, under [Module] Tools, click the Autoresponders link.

In the Autoresponders page, click the Update Response link that corresponds to the autoresponder.

In the Mail Sent List overlay, select the leads/contacts to be excluded from the next follow-up.

Click Update Response.

To exclude records before the autoresponder is initiated:

The Mailing List will be available only after the autoresponder is initiated. In case you want to exclude some contacts from the mailing list, even before the autoresponder is initiated, follow the steps given below:

Click the Leads or Contacts tab.

In the [Module] Home page, select the checkbox(es) corresponding to the records that you want to exclude.

Click More Options, and then click the Update Response link.

In the Select Autoresponder popup window, select the autoresponder from the drop-down list.
Click Save.

2) Filter method - create a custom View and filter the records you want to target

You can create a custom view that uses fields in the module record to filter out records that you do not want to include in the autoresponder.

For example, if you want to send an autoresponder to leads until they show interest in a product...

You could create a custom field or adjust the Status field to have levels of interest, then have sales change the value in the custom field that expresses this interest.

Create a custom view that shows leads that are still uninterested - these will be the leads that receive the autoresponder. 

Then finally, base your autoresponder filter on this view.

When the lead records are changed to show their interest, they will be excluded from the autoresponder automatically.

I think Zoho need a function to flag when an autoresponder campaign is complete then not start it again if the recipient(s) in the list have already been sent the campaign.

Or you can't determine when someone has been through the whole autoresponder cycle
