HR Information System using Zoho People

Tracking this using traditional paper-based methods was causing the HR team many headaches, so we made the decision to move to an online cloud-based HRIS, or Human resources Information System, Zoho People.

Zoho People allows us to do all of the above so we are able to immediately access all of the information about our team. This is not only critical to make contact with each and every employee if needed, for example in the case of emergency or full seasonal greetings, but also we are able to quickly match the right employees to the right internal roles that may arise simply by searching their skill sets. This means we are more quickly able to match internal people to upcoming roles or to specific projects rather than having to go through the lengthy recruitment process which can be time consuming and expensive.
It also helps our internal staff to feel more motivated and encourages them to go for promotional roles that challenge their expertise and knowledge and develop their career path. Our system can even handle this by logging their training courses, expertise and skills as they are grown. 
Use Zoho People to manga and track your staff and their progress.

We can even use Zoho People to carry out automated reminders for 360 degree peer reviews every year or six months. The system sends out the reminders to the right people and copies in their management based on the hierarchy we have set up in our information system. The staff and their managers then complete the 360 degree peer review process by recording their findings in the HR system which can be reviewed at the end of the year and linked to performance reviews and performance bonuses.

Tracking staff leave was always problematic with the paper-based system - and so we now do this entirely in Zoho People.

All members of our team are able to request leave from an online web form stating the dates they want to take and the reason. This then alerts their manager who can approve or deny the request online using Zoho People. Any leave that gets taken after approval is automatically added from that employee's leave allowance.
It was also difficult to track what company assets had been given to which staff as our company did issue laptops to mobile sales teams as well as mobile phones. And some of our management have company cars.

But this is no longer an issue because we register all of this information against the employee's record in Zoho People. Not only the fact they have a laptop but also the laptop serial number, make, model and so on. And it's the same with cars: it records all the car makes, models and chassis numbers along with the mileage.

Many of the sales team also get reimbursements for expenses incurred as part of the sales process, for example mileage and parking, hotels etc. They are all able to log into Zoho people and submit their expenses and receipts via the system so that we can efficiently reimburse them at the end of the month.

Recruitment using Zoho Recruit

We use Zoho recruit to do all of our company recruitment from job advertisements to applicant tracking and finally conversion to an employee. 

Zoho Recruit allows us to draft all of our job advertisements including all the information you would normally expect such as job name, start date, location, responsibilities and so on; and then we'll link up to many well-known job sites to post the job in one click to multiple locations as well as the Vacancies section on our own corporate website.

When we receive applications for the jobs they are tracked using Zoho recruit and each application has a unique identifier along with all of the applicant information such as contact details and so on, which are then used to schedule their interview using the calendar booking system so interviewers and interviewee are notified of the appointment.

Interviewers can record notes from the interview against that applicant and then log the interview result. 

We use automated email templates to save time communicating with many hundreds of applicants so successful and unsuccessful applicants receive communications either way from the system.

Once an applicant is successful they become an employee and registered automatically from Zoho Recruit into the  Zoho people information system.

Unsuccessful applicants are kept in the system so that we can match them to potential jobs in the future based on their skill sets.
